A strong and forward thinking HR function is key to our global success. Within this context, your mission in this role is to act as a proactive Management Assistant to the two HR Centers of Expertise (CoE): Talent Management, Learning & Development, and Compensation & Benefits.
This involves providing the two CoE team managers with wide ranging administrative support, and the seven senior managers in the team with limited administrative support to ensure the effective operation of the department. In addition you provide Program Management support to the CoEs through the creation and follow-up of action items from meetings and the proactive monitoring of project budgets.

Management Assistant to the HR Centers of Expertise – Talent, Learning & Development and Rewards

The role and its responsibilities
Working from the AkzoNobel Center in Amsterdam, the Netherlands, you are responsible for a wide range of administrative and project management activities.

For the CoE leaders you perform agenda management and the processing of e-mail, regular mail and other correspondence (in English and Dutch). You also organize meetings and travel, process expense reports, administer vendor payments, and carry out ad hoc administrative or coordination tasks.

For the Senior Managers you organize (multi-party) meetings and travel arrangements, and process expense reports if requested.

For the Talent, Learning & Development CoE team you manage the administration of vendor payments, creating purchase orders and following up on payments and postings as necessary. You also attend team meetings, making and distributing action points and monitoring timely follow up.

Further, you monitor budgets and proactively create analyses of run rates, forecast of year-end etc. You also coordinate responses to unsolicited job applicants, create and manage a department Share Point site, and perform ad hoc administrative or coordination tasks.

For all three groups you manage travel coordination and visa requests.

Please note that this is a role with considerable autonomy. As such you will be expected to take the majority of decisions as they relate to your own sphere of tasks and responsibilities, without seeking approval from higher managers.

Candidate profile
To apply for this position you must possess the following attributes:

  • Minimum BSc (HBO) level, with a Secretarial degree an advantage;
  • At least three years of experience as a Management Assistant, with knowledge of HR processes an advantage;
  • Ability to maintain a high level of confidentiality and work with sensitive data and information;
  • Proficient in the use Microsoft Office (Word, Excel, PowerPoint) and SAP SRM, Concur and similar programs;
  • Proactive in seeking to improve administrative and team processes;
  • Strong oral, written and interpersonal communication skills including Dutch and English.
